4. Where we get it
We collect personal data:
Directly from you, when you contact us, send us your CV, or speak with us
From professional and public sources, including LinkedIn, professional networking sites, job boards, company websites, GitHub and public technical profiles
From referrals, where someone in our network recommends you
From clients, where they share feedback on an application
If we obtained your details from a source other than you, we will tell you where they came from when we first make contact.
5. Why we use it, and our legal basis
What we do | Why | Legal basis
Assess your suitability for roles and approach you about them | To provide recruitment services | Legitimate interests
Share your details with a client for a specific role | To put you forward for that role | Your consent, given before we send anything
Take references | To verify performance and capability | Your consent
Keep you on file for future opportunities | To tell you about relevant roles later | Legitimate interests, or consent where required
Send market and salary information | To keep you informed about your market | Legitimate interests, or consent where required
Manage a client relationship and deliver a search | To perform our contract with the client | Contract
Meet legal, tax and regulatory obligations | Because we have to | Legal obligation
We never send your details to a client without asking you first.
Where we rely on legitimate interests, we have considered whether our interest in providing recruitment services is outweighed by your rights. You can object to this at any time. See section 10.
6. How we’ll contact you
If you’re a candidate, we will contact you to:
Discuss a role we think fits what you’ve told us you’re looking for
Ask your permission before sending your details to a client
Update you on the progress of an application
Answer a question you’ve asked us
Share market or salary information relevant to your skill set, where you’ve agreed to receive it
We will always ask before putting you forward for anything, and you can tell us to stop contacting you at any time.
If you choose not to give us certain information, we may not be able to represent you effectively for a particular role, but that’s your decision to make, and we’ll tell you what we actually need and why.
7. Who we share it with
Clients, but only with your specific consent for a specific role
Service providers who help us operate: Google Workspace (email, calendar and file storage) and Framer (website hosting). These providers process data on our instructions only. We will update this list if it changes.
Professional advisers and authorities, where we are legally required to disclose
We do not sell personal data, and we do not share it for advertising.
8. International transfers
Noorex Human Resources Consultancies - FZCO is established in the United Arab Emirates, and our systems and staff are located there. If you are in the European Economic Area or the United Kingdom, this means your personal data is transferred outside that region when we process it.
We keep the amount of data we hold to what we actually need, we hold it in access-controlled systems, and we apply the same standards to it wherever it is processed. If you would like details of the specific safeguards that apply to transfers of your personal data, contact us at faisal@noorex.io and we will provide them.
9. How long we keep it
Candidate records: two years from our last meaningful contact with you, after which we delete or anonymise them. Any substantive conversation resets this period.
Placed candidates: six years from the end of the placement, to meet contractual and tax obligations
Client records: six years from the end of our working relationship
Unsuccessful enquiries: twelve months
We review records periodically and delete what we no longer need.
10. Your rights
If you are in the EEA or UK you have the right to:
Access the personal data we hold about you
Have inaccurate data corrected
Have your data deleted
Restrict how we use it
Object to processing based on legitimate interests, including being kept on file
Receive your data in a portable format
Withdraw consent at any time, where we relied on it
To exercise any of these, email faisal@noorex.io. We will respond within one month.
You also have the right to complain to a supervisory authority. In Germany this is the data protection authority for your federal state; in the UK it is the Information Commissioner’s Office.
If you would rather we didn’t hold your details at all, tell us and we will delete them. You do not need to give a reason.
11. Security
We use access-controlled systems, encrypted storage and multi-factor authentication on the accounts holding personal data. No system is completely secure, but we take these obligations seriously and we keep the amount of data we hold to what we actually need.
12. Cookies
Cookies are small text files a website stores on your device. They are used to make a site work properly and, on many sites, to track how it is used.
Our website uses only the essential cookies needed for the site to function. These allow pages to load and display correctly.
We do not use analytics cookies, advertising cookies or tracking cookies. We do not build a profile of your visit, and we do not share anything about your visit with third parties for marketing.
Our website does not embed content from other providers, so no third party sets cookies through it.
Most browsers let you refuse or delete cookies through their settings. Because we only use essential cookies, blocking them may stop parts of the site from working.
13. Changes to this policy
We will update this page when our practices change, and we will change the date at the top.
